Manual methods of collecting data
Data collection is the process of gathering information needed for a project. One common approach involves collecting data by hand, which gives you direct control over what you gather.
Ways to collect data manually
- Questionnaires - Asking people questions to gather opinions or facts, often on paper or digitally.
- Capturing media - Using devices like cameras to take photographs or microphones to record sounds.
- Researching online - Searching for existing information using tools like search engines.
Once collected, this data needs to be input into a computer system. For example, you might type questionnaire responses into a spreadsheet (a program for organising data in rows and columns) or transfer files from a device using a memory card (a small storage device).
Manual collection is particularly useful for creative tasks, such as designing a poster or producing a video advertisement, where you need personalised content.
Comparison with automatic methods
Manual collection can be straightforward and low-cost, but it relies on human effort, which may lead to mistakes or take longer. In contrast, automatic methods use technology for greater reliability.

Advantages of data logging

- Extended collection periods - Equipment can gather large amounts of data over very long or very short times without interruption.
- High accuracy - Measurements are more precise than those taken by humans, reducing errors.
- Reliability - Devices follow the same instructions repeatedly and do not tire, ensuring consistent results.
Disadvantages of data logging
- High cost - The hardware (physical equipment) and software (programs that run on computers) required can be expensive to buy and maintain.
- Training needs - Users must learn how to set up and operate the equipment correctly.
- Risk of failure - If the device malfunctions (fails to work properly), all collected data could be lost, which is why automatic backups (copies of data stored separately) are often used.

- Keyword searches - Enter words related to your topic, and the search engine lists websites containing those words.
- Specialised options - Many allow searches for specific types of content, such as images, videos, or news articles.
- Coverage limitations - No single search engine indexes (stores details of) every website, so trying multiple ones can yield better results.
- Error handling - Search engines often detect spelling mistakes and suggest corrections to improve your search.
Search engines store keywords and details from websites to provide quick results, but the sheer volume of information means not all results will be relevant.
Improving searches with operators
To make searches more precise and efficient, you can use search operators (special symbols or words that refine results). This helps narrow down millions of potential matches to the most useful ones.
Common search operators
- Exact phrase search - Use double quotation marks (" ") around words to find them in that exact order, e.g., "rose pink" finds pages with those words together, not "pink rose".
- Excluding words - Add a minus sign (-) before a word to omit it, e.g., "rock -music" finds information about geological rocks, not rock music.
- Site-specific search - Type "site:" followed by a domain name (the main part of a website's address) to limit results to that site, e.g., "KS3 site:cgpbooks.co.uk" searches only the CGP Books website for "KS3".
Boolean operators (logical terms like AND, OR, NOT) can also refine results
- AND - Shows results containing both terms (some search engines add this by default between keywords).
- OR - Includes results with either term, e.g., "Spain OR France" broadens the search.
- NOT - Excludes a term (similar to the minus sign), e.g., "flights NOT Heathrow" avoids results about Heathrow airport.
Combining operators, such as "Spain OR France AND flights -Heathrow", can produce highly targeted results.
Legal considerations when collecting data online
When gathering data from the internet, it is essential to respect laws that protect creators' rights. Ignoring these can lead to legal issues or unethical behaviour.
Understanding copyright
Copyright is a legal protection for original works, such as books, songs, software, images, music, or videos. It prevents others from using or sharing the content without permission from the creator. The © symbol often marks copyrighted material. After a certain period, copyright expires, and the work enters the public domain (available for anyone to use freely), like Shakespeare's plays. There are some legal exceptions, but generally, using copyrighted content without permission is illegal.
Creative Commons licences
Creative Commons (CC) licences provide a way for creators to share their work legally while controlling its use. Unlike full copyright, CC allows others to use the content without asking permission, as long as they follow the licence conditions.

Remember, content found via search engines, like images or videos, is often protected and cannot be used freely.
