The importance of data in business operations
Businesses generate a wide range of numerical information as part of their daily activities. This data includes figures such as total sales, various costs, overall revenue, levels of profit, and results from market research. By interpreting these numbers correctly, firms can track how well they are performing and make predictions about future results. Effective presentation of this data is essential, as it makes complex information clearer and easier for managers, employees, and stakeholders to understand and act upon.
Methods of presenting data
There are several ways to display business data visually, each suited to different types of information. These methods help highlight key patterns and comparisons, making it simpler to communicate insights.
Pie charts
Pie charts are circular diagrams that divide data into segments to represent percentages or shares. They are particularly useful for illustrating market share, where each 1% of the total is shown as a 3.6° section of the circle (calculated as 360° divided by 100). Pie charts are straightforward to create and interpret, and tools like spreadsheets can generate them efficiently.
Bar charts
Bar charts use rectangular bars of varying heights to display different values for a particular category or variable. They are simple to draw and read, providing a strong visual effect that makes comparisons clear at a glance.
Histograms
Histograms resemble bar charts but are designed for data with continuous ranges, such as frequencies across intervals. The area of each bar is proportional to the value it represents, with no spaces between bars. Unlike standard bar charts, histograms can have bars of different widths as well as heights, making them ideal for datasets with wide variations.
Pictograms
Pictograms replace the bars in a bar chart or histogram with images, symbols, or company logos to represent data quantities. They are commonly featured in promotional materials like corporate reports, where a firm might use pictures of its own products to depict sales figures, adding an engaging and branded touch.
Line graphs
Line graphs connect data points with lines to show how one variable changes in relation to another, such as revenue over time. Multiple lines can be included on the same graph for comparisons, with distinct colours used to differentiate them and maintain clarity.
Potential problems with misleading diagrams
Visual representations of data can sometimes create inaccurate impressions if not designed carefully. For example, graphs where the scale on an axis does not begin at zero can exaggerate changes, making it appear as though profits have tripled when the actual increase is only 15%. In financial documents like cash flow forecasts or accounts, negative figures are typically shown in brackets to indicate losses clearly.
How to analyse data and identify trends
Data analysis involves examining charts, graphs, and figures to extract meaningful insights. This includes spotting key elements such as overall trends or dominant shares in a market. Effective analysis also explores possible reasons behind the data and their likely consequences. For instance, a drop in visits to a company's website could result from updates to search engine algorithms, prompting the need for an updated approach to search engine optimisation (SEO) to restore traffic levels.
